Swim meet and school carnival timing in New South Wales.

From an Area club night to a PSSA zone carnival, EasyMeet turns the phones already on deck into synchronised timing, with results ready the moment the last race finishes.

Club nights

Club nights across 12 Areas

Swimming NSW organises the state into 12 affiliated Areas, covering more than 350 clubs and upwards of 32,000 members. That scale means a Tuesday night club meet at a suburban pool sits inside a genuinely large competitive structure, with swimmers moving between club nights, Area meets and the pathway above. For the committee running the night, that mostly means one thing: a lot of races, a limited number of volunteers, and a program that has to run on time whether it is twenty swimmers or two hundred.

  • Import your nominations as a Swim Central HY3 file
  • Two phones per lane, auto-averaged into one time
  • Live board for the pool deck or clubhouse screen

School carnivals

The NSW school carnival pathway

Government schools generally follow school carnival, then a zone or district carnival in February or March, then a regional PSSA carnival in Term 1, then the NSW PSSA state carnival in April. Independent and Catholic schools run a parallel ladder through CHS, CCC or CIS carnivals up to NSW All Schools. Swimming NSW publishes its own Guidelines for Running Your School Swimming Carnival and a School Swim Meet Qualifying Time Policy for schools that want their carnival recognised as an approved meet, and both assume the usual school-sport convention of age as at 31 December.

What an approved meet needs

If a carnival wants to run as a Swimming NSW approved meet, the rules are specific: events, results and backup files have to be submitted within 7 days, and that submission has to carry the names of the accredited SNSW referee and the accredited or approved starter who ran the meet. That is a real administrative load on top of the timing itself, and it is also the point worth being clear about: EasyMeet speeds up the timing and the paperwork, not the officiating. A carnival still needs its referee and starter on deck, accredited the way Swimming NSW requires, whether or not EasyMeet is running the clock.

Why EasyMeet

Where EasyMeet fits in NSW

For an Area club night, EasyMeet replaces stopwatches and paper cards with phones the timers already carry: import the HY3 export from Swim Central, share a QR code per lane, and read results off the live board as swimmers touch. For a school carnival or zone meet, the same setup handles a much bigger program, and the PDF and CSV export is ready to attach to that 7-day submission as soon as racing ends. EasyMeet's times are proper hand times: more consistent than a lone stopwatch, but still hand times, not an electronic timing system, and an approved meet still needs its accredited officials regardless.

  • PDF and CSV exports ready for Area or PSSA record-keeping
  • No touchpads or consoles to hire for a one-off carnival
  • Same setup scales from a club night to a zone carnival

Questions

NSW questions

Do we still need accredited officials for an NSW approved meet?

Yes. EasyMeet handles the timing and the results, but a Swimming NSW approved meet still needs an accredited SNSW referee and an accredited or approved starter on deck. EasyMeet does not make a meet sanctioned.

How fast do results need to reach Swimming NSW for an approved meet?

Within 7 days, along with the backup files and the names of the referee and starter. EasyMeet's PDF and CSV exports are ready the moment racing ends, which gives the recorder plenty of room inside that window.

Can EasyMeet import our Swim Central nominations for an Area club night?

Yes. Drop in the HY3 export and the whole program, every event, heat and lane, builds itself and matches against your roster.

Does EasyMeet work for a PSSA zone or regional carnival, not just a club night?

Yes, the setup is the same whichever level you are running. Two phones per lane, a shared starter signal, and a live board, whether it is twenty swimmers or a full zone carnival.

What age do you use for NSW school carnivals?

The usual school-sport convention: age as at 31 December of that year, which is how Swimming NSW and the PSSA pathway both set age groups.
