How to run a school swimming carnival.

A checklist for the teacher or sport coordinator running the carnival: supervision rules, house points, booking timeline and a run sheet you can follow on the day.

In short

Book the pool early, up to 12 months ahead in NSW DoE guidance, and leave three to four weeks before any district carnival that follows. Supervision is the non-negotiable: at least one teacher with current CPR, water rescue cover if there's no lifeguard, two pool-side supervisors per race, and a 1:1 spotter for any student with a seizure condition. Students are grouped by their age as at 31 December, and house or faction points run on whatever scale your school already uses, 10/8/6/4 and 7/4/3/1 are both common real-world examples.

Safety and supervision

What supervision a carnival needs.

The NSW Department of Education's school swimming carnival supervision guide sets out the baseline most schools work from, even outside NSW. At minimum it calls for:

  • At least one supervising teacher holding a current CPR qualification
  • Water rescue competencies covered among staff if no lifeguard is on duty
  • Two pool-side supervisors per race, one on each side of the pool, dressed to enter the water and able to keep pace with the slowest swimmer in the race
  • A 1:1 spotter assigned to any student with a seizure condition
  • Class-size ratios used as a guideline for how many staff a group of swimmers needs

Treat this as the floor, not the ceiling: your school, sport association or insurer may ask for more. Confirm your own state's current policy before the carnival, since these guidelines are updated periodically.

Booking and timeline

Book earlier than you think you need to.

01

Up to 12 months out

Book the pool. NSW DoE guidance flags this as realistic lead time for a popular venue during carnival season.

02

6 to 8 weeks out

Confirm supervising staff and their CPR currency, roster volunteer parents, and send home the event and age-group list.

03

2 to 3 weeks out

Close entries, build the heat sheet, and seed by age group and recorded time, same as any other meet.

04

3 to 4 weeks before districts

Leave that gap between your carnival and any zone or district carnival, so results and nominations can be processed in time.

House and age champion points

There's no single national scale.

Every school sets its own points scale, so check what yours already uses before you pick one. Two real published examples: Whitebridge High School in NSW scores 10 points for first down to 4 points for fourth, while Merimbula Public School uses 7/4/3/1. Neither is more "correct" than the other, they are simply the scale each school has settled on.

Beyond the base scale, common practice (not a rule) is to score relays at double the individual points, award a small participation point just for entering an event, and name an age champion in each age group as whoever racked up the most points across their individual events that day.

Age groups are set by age as at 31 December of the calendar year, per School Sport Australia rule A-5.2, not a student's age on the day of the carnival. Decide and publish your points scale before entries open, so coaches and students know what they're racing for.

Where EasyMeet fits in

A carnival runs on the phones your teachers, parents and senior students already carry: no touchpads, consoles or cables to buy or hire. Every phone starts together on one synced signal, two phones per lane are auto-averaged, and the live results board can go up on the hall screen as races finish. House points and age-champion scoring are in active development, not live yet, so talk to us before you plan a pilot around them.

  • No equipment to buy or hire, timing runs on phones you already have
  • Live results board for the hall screen, updated as races finish
  • Your first carnival is free, with every feature and no card needed
Questions

School carnival questions

What supervision do we need at a school swimming carnival?

NSW Department of Education guidance calls for at least one supervising teacher with a current CPR qualification, and water rescue competencies covered if there is no lifeguard on duty. It also recommends two pool-side supervisors per race, one on each side of the pool, dressed to enter the water and able to keep pace with the slowest swimmer, plus a 1:1 spotter for any student with a seizure condition. Check your own state and school sport body's policy, since requirements vary.

How far ahead should we book the venue?

NSW DoE guidance suggests booking up to 12 months ahead for a popular pool, since school carnival season is a crunch period for venues. Leave three to four weeks between your school carnival and any district or zone carnival that follows, so results, nominations and age checks can be processed in between.

How do house or faction points work at a swimming carnival?

There's no single national standard, every school sets its own scale. Two real examples: Whitebridge High School (NSW) uses 10/8/6/4 for first to fourth, Merimbula Public School (NSW) uses 7/4/3/1. A common extra practice, not a rule, is to score relays at double points and award participation points just for competing, with the age champion in each age group being whoever scores the most points across their individual events.

What age is a student on for carnival events?

The usual school-sport convention is age as at 31 December of that year, per School Sport Australia rule A-5.2, not the student's age on carnival day. This is why a student who turns 13 in November still swims in the 12-years age group for that calendar year.

Do we need Swimming Australia officials to run a school carnival?

Not for an internal house carnival. Most schools run these with staff and senior students covering timekeeping, marshalling and recording, using the same roles outlined in Swimming Australia's rules as a guide, without needing accredited officials. A zone or regional carnival that feeds into a state pathway is more likely to need accredited officials, check with your school sport association.

Can EasyMeet run our house points and age champion scoring?

House and faction points and age-champion scoring for carnivals are in active development, not live yet. What is ready today is the phone timing, the live results board, and PB tracking. Talk to us about a pilot carnival and we'll be straight with you about what's ready for your date.
